Terms & conditions

  1. Terms of payment are 30 days from the date of invoice and are subject to VAT.
  2. Quotations and estimates are valid for two months from the date of issue. The Company reserves the right to revise quotations after this date.
  3. Studio rates include 1 hour free briefing and preparation time before and after your research (subject to availability). Any additional hours will be charged at the standard hourly rate.
  4. Information relating to respondents will remain the property of the field agency or Research Company.
  5. In the event of a dispute arising from a booking, the maximum liability awarded by The Conservatory Ltd shall be no more than the value of the studio hire fee for the booking.
  6. In the event of recordings being unavailable (audio or digital) due to any malfunction of equipment, studio hire fees will be refunded for the period during which the recordings were unavailable or an equivalent replacement booking will be offered.
  7. If one of your competitors has a studio booking on the same day as your research, The Conservatory cannot be held responsible
  8. We shall not be liable for loss or damage arising through circumstances beyond our control: noise disturbance or power failure, delays caused by weather, industrial action, transport difficolties, or any other circumstances beyond our control. In cases where materials / property supplied by the client are given to respondents, the Conservatory will not be liable for any damage, injury or inconvenience caused  to the respondents or to the materials
  9. Notwithstanding anything else contained in these terms and conditions, The Conservatory shall not be liable to the client for loss of profits or contracts or any other indirect or consequential loss, whether arising from negligence, breach of contract, or howsoever.
  10. Bookings must be confirmed by completing a Conservatory booking form and returning it by email  at least 48 hours prior to the booking taking place.
  11. Catering and additional charges are made in accordance with information completed on the confirmation forms, or provided in writing, by email at least 48 hours prior to the booking taking place. The Conservatory must be informed of any changes as additional costs may be incurred.
  12. Unless otherwise agreed in advance, only catering provided by The Conservatory may be consumed on the premises.
  13.  Quotations are made in Great British Pounds (GBP) unless otherwise stated and are valid for 28 days from the date of issue.
  14. Invoices are payable in GBP unless otherwise agreed.
  15. All cancellations/postponements must be made in writing (by email to This email address is being protected from spambots. You need JavaScript enabled to view it. ) in addition to a telephone message.
    1. Postponement and cancellation fees will be charged as follows on all confirmed bookings:
  16. 0-4 working days’ notice: £100% of cost
  17. 5-10 working days’ notice:  50% cost
    1. The use of the words “working days” shoold be defined as a foll standard working day of 9.00am-5.00pm Monday to Friday (excluding bank holidays) i.e. if you notify us at 10.30am on Monday to cancel a booking for Friday of the same week, this constitutes four working days’ notice.
  18. The percentages quoted above are for studio hire costs. Refreshment charges will only be charged if the cancellation/postponement is made on the same day as the intended booking.
  19. All incentives are to be supplied in cash by the client unless otherwise arranged.
    1. If the Conservatory is to provide incentives for the project, a 15% charge of the total incentive monies provided will be charged (this can only be done by prior arrangement.)
  20. The Conservatory can offer free parking to clients subject to availability. We must be made aware of large numbers of attendees in advance if parking is required, to ensure the best chance of a space being available.
